Booking
When is the best time to book group flights?
Send an enquiry once you know your approximate route, dates and group size. Planning ahead gives you more options for checking seats and flight times, but does not guarantee a lower price.
How long does it take to prepare a group offer?
This depends on the route, group size and how quickly the airline responds. Preparing an offer may take one to several working days, or longer when the airline is busy. If your trip is urgent, tell us when you need a response.
What information and steps are needed to make a booking?
Once you choose an offer, you will receive the flight conditions, payment deadlines and details of the information required. The booking is finalised according to the accepted offer. Submitting the form alone does not reserve seats.
When are group tickets issued?
The deadline depends on the airline and the offer conditions, and may differ from the date the booking is made. It should be confirmed together with the deadline for submitting the passenger list.
Who handles online check-in?
We agree on the scope of check-in assistance during the booking process. Passenger and travel document details are provided at the appropriate stage, according to the airline’s requirements.
Can the group depart from different cities?
You can request a quote for these options. Tell us how many people will depart from each city and when they need to meet at the destination. It is not always possible to combine these flights into one booking.
Can I enquire about a charter flight, business class or premium class?
Yes. Enter your preferred cabin class or charter requirements in the notes. The number of available seats, minimum group size and conditions require separate confirmation.
Are low-cost airlines and connecting flights available?
You can include these options in your enquiry too. Let us know whether connections, airport changes and overnight flights are acceptable; included services and baggage allowances may differ.
Benefits and passenger names
What are the benefits of a group booking compared with individual tickets?
It can make it easier to coordinate a shared flight, pricing, passenger lists and payments. The benefits depend on the offer — a group booking does not always mean the lowest price per person.
Do I need to provide passenger names straight away?
We do not need a named passenger list at the enquiry stage. For group bookings, the deadline for providing names and the possibility of changing them depend on the airline’s conditions. There is no single deadline that applies to every airline.
What documents do travellers need?
Every passenger, including children, needs the travel document required for the route. Check the entry rules and the airline’s requirements. Do not send document scans through the enquiry form.
Group size and children
What is the minimum group size for an enquiry?
At INFOLOTY, we welcome groups of 10 or more people. The airline’s minimum group size depends on the carrier, cabin class and how children are counted. We will specify the conditions for your chosen option in the offer.
Do children receive a discount on group tickets?
There is no single rule for every offer. Tell us the children’s ages on the date of travel so we can check pricing and airline requirements. Some group fares charge the same price for all travellers.
How many children can travel with one accompanying adult?
The required number and age of accompanying adults depend on the airline, the children’s ages and the organiser’s rules. Check these before choosing a flight; do not assume the same ratio applies to every airline.
Can the number of passengers be reduced?
This may be possible before a specified deadline or may involve charges. Check the conditions for reducing the group size and the minimum number of passengers before confirming and making a payment.
Baggage
Is checked baggage included in the price?
Not always. Each offer should specify cabin and checked baggage allowances, including the number of items, weight and dimensions. The term “group ticket” alone does not confirm what baggage is included.
Can travellers have different baggage allowances?
This depends on the airline and fare. In your enquiry, tell us how many people need checked baggage and whether some will travel with cabin baggage only.
What can I pack in cabin and checked baggage?
Check the current rules of the airline and the airports on your route. Batteries, power banks, sharp objects and dangerous goods require particular attention. Weight and size limits depend on your ticket.
What are the rules for carrying liquids and food?
Liquid screening rules may depend on the airport, including when connecting. Food is also subject to the destination country’s regulations. Check official airport and border authority information before travelling.
Can I take medication on board?
Check medication and documentation requirements with the airline, airport and destination country’s authorities. It is worth arranging any requirements for liquid medication or medical equipment before travelling.
How can we transport sports equipment or musical instruments?
Include the type, packed weight and dimensions of the equipment in your initial enquiry. It may require separate approval, an additional charge or an extra cabin seat.
What should I do if my baggage is lost or damaged?
Report the problem at the airport baggage service desk and keep your report confirmation, boarding pass and baggage tag. Separately check the airline’s claim procedure and deadlines.
What documents and deadlines apply to baggage claims?
Prepare your PIR report reference, flight confirmation, baggage tag and evidence of damage or expenses incurred. The deadline depends on the type of incident; check the airline’s official rules and do not delay reporting it.
Payments
Does the whole group have to pay in full straight away?
Some offers allow a deposit followed by further payments, while others require full payment. The schedule depends on the airline and how soon you are travelling. We will confirm it in the booking conditions.
How many instalments can the payment be split into?
There is no fixed number of instalments for every booking. The offer should state the amounts, due dates and consequences of missing a payment. One airline’s rules do not automatically apply to other flights.
Will I receive an invoice for group tickets?
Yes. Provide the purchaser’s details when arranging the booking. The document type, scope of services and billing arrangements should be confirmed with the offer.
Can discounts, such as Poland’s Large Family Card, be combined with a group offer?
Do not assume discounts and fares can be combined automatically. Eligibility for a particular discount must be confirmed for the specific offer.
Changes and cancellations
Can a passenger’s name be changed free of charge?
Some offers allow changes before a specified deadline. Different rules and charges may apply after tickets have been issued. Check the deadline for providing names before purchasing.
How many tickets can be cancelled without a charge?
There is no common limit for every booking. Any permitted reduction, loss of deposit and cancellation charges must be set out in the conditions of the specific offer.
Can ticket details be changed after check-in?
Whether a correction is possible depends on the airline and may require contacting its support team and reversing check-in. Do not assume a change can be made free of charge or without assistance.
The scope and conditions depend on the specific offer. Airline information takes precedence over general guidance.
